Whether it's used to manage a home business or just manage the business of your home, your office is "planning central'.
Having an organized office makes it easier to:
Stay on top of important papers (client documents or house bills)
Better manage your schedule (or everyone else's)
Direct the flow of key projects
So where do you start?
Take a mental snapshot of your office.
Are there piles of paper? Do you know what's hiding in them?
Is your workstation functional? Does it allow you to get things done efficiently? Or do you find yourself losing valuable time running from one area to the other to accomplish one task?
Your office should be set up in a way that you can get to what you need, when you need it with minimal waste of time and energy.
Tackle Your Paper
Sort through the piles of paper into piles to Discard, Handle or to Hold. Discard unnecessary documents. Handle those that need to be paid or responded to. Hold or file those that need to be kept.
Weed through your filing system and ruthlessly get rid of documents that you don’t need. Make sure you shred any documents with private information (client records, credit card statements, etc.).
If you don’t have a filing system, create one so you can manage incoming and outgoing documents efficiently.
Keep like Items Together
Organize the supplies you need to perform routine tasks together. (Mail supplies in one corner. Computer discs in another.)
Place them in the areas of the office that you usually handle them.
Putting it all together reduces the amount of time wasted looking for the things you need to get the job done.
Make Your Space Work for You
The flow of your office should match the flow of your work. If you find yourself criss- crossing your paths to get simple tasks your office space is making you work harder than you have to.
Take a step back and think about the things that you use your space for. If you don’t have things set up in a way that lets you work efficiently move things around.
Get creative with your design but don’t forget to pay attention to the ergonomics, lighting and spacing to keep you healthy and productive.
